Controlled beta · 0.7.0-beta.1Venue booking and operations features

More than a booking form. A workspace for running the event.

VenueDesk connects venue setup, availability, bookings, agreements, payments, customers, documents, communications, staff work, reporting, and plan-aware growth.

Core booking operations

Day, week, and month calendar

Review reservations across venues with status context, venue filtering, blackout visibility, range summaries, and busy-day handling.

Blackout-aware availability

Customer, staff-created, and reschedule calendars share closed-day, notice-window, advance-window, buffer, blackout, and conflict rules.

Safe rescheduling

Authorized users can move active bookings, recheck availability transactionally, notify customers, and preserve the old and new schedule in activity history.

Actionable booking filters

Jump directly to Today, Upcoming, Deposit due, Contract unsigned, and Balance due work instead of rebuilding filters manually.

Business overview

See upcoming events, today’s work, pending requests, deposits, monthly pipeline, recent payments, and attention items based on role permissions.

Global tenant search

Search booking references, customers, phones, emails, event types, venues, packages, and exact event dates from the tenant header.

Contracts, payments, and documents

Contract templates

Use the VenueDesk agreement, create venue-specific templates, or import readable text from a text-based PDF for editing and placeholders.

Electronic signatures

Generate immutable booking snapshots, send secure signing links, verify the signer email, and retain signed-content verification data.

Contract before payment

Packages can require a customer to sign the booking agreement before eligible payment actions unlock.

Stripe Connect payments

Connect the venue’s own Stripe account for eligible deposits and balances while keeping SaaS subscription billing separate.

Manual payments and refunds

Authorized staff can record offline payments and manage supported partial or full Stripe refunds with reconciliation history.

Invoices, receipts, and private files

Generate PDF invoices, receipts, and signed contracts; upload supported private booking files; and choose which files customers may download.

Customer and team experience

Secure customer portal

Each booking can expose Overview, Contract, Payments, and Documents through a secure access link without requiring a separate customer account.

Automated communications

Configure booking status messages, payment and contract notices, balance reminders, and event reminders with duplicate-delivery protection.

Staff booking alerts

Owners, Admins, and Managers can receive queued internal emails for new bookings, status changes, reschedules, signed contracts, and payments.

Customer directory

Keep contact information, booking history, lifetime paid totals, search, sorting, and internal notes scoped to the tenant.

Role-aware team management

Invite supported roles, rotate or cancel invitations, change manageable roles, and protect Owners and self-membership.

Optional tenant MFA

Tenant users can enroll TOTP MFA with recovery codes and disable it with their current password. Super Admin MFA remains mandatory.

Operational polish for busy teams

Notifications workspace

Current pending bookings, deposits, unsigned contracts, balances, and recent activity appear as live operational conditions with direct booking links.

Mobile-friendly work lists

Booking and customer tables become readable stacked cards on smaller screens while contact information remains actionable.

Package images

Add PNG, JPG, or WebP images to packages and display them in management and on public booking cards.

Booking link sharing

Open, copy, or share the customer booking URL directly from the dashboard, with the stable VenueDesk address kept visible.

Package checklists

Create reusable package task templates and copy them into booking-specific event checklists.

Help and Feedback

Tenant users can report a problem, suggest an improvement, or contact support with safe context from inside the beta application.

Pro reporting and branding

Overview and Sales reports

Analyze booked event value, net collected payments, outstanding balances, average booking value, monthly trends, and venue performance.

Booking, package, and customer reports

Review booking status and event distributions, package performance, new versus returning customers, and top customer activity.

CSV exports

Export bookings, payments, package performance, and customer performance with spreadsheet-safe cell handling.

Flexible date ranges

Use 30-day, 90-day, year-to-date, 12-month, or bounded custom reporting periods.

Custom tenant branding

Pro and Enterprise unlock logo, primary color, public booking heading, and intro-copy controls through a CSP-safe generated theme.

Multiple venues

Pro and Enterprise remove the Standard one-venue limit for centralized operations across multiple spaces or locations.

Enterprise connectivity and onboarding

Scoped API tokens

Owners and Admins can create tokens that are shown once, stored only as hashes, optionally expire, and can be revoked immediately.

Read venue data

Enterprise API tokens can read venues, packages, bookings, individual booking records, and customers within the tenant.

Create bookings by API

Tokens with the optional bookings:write ability can create bookings through the normal VenueDesk availability, scheduler, and communication workflow.

Custom onboarding

Enterprise engagements can track scheduling, kickoff, implementation contact, status, and agreed setup scope separately from self-service onboarding.

Priority-support designation

Enterprise tenants carry an explicit priority-support entitlement as part of the plan model.

Plan and entitlement controls

Commercial plan, optional entitlement overrides, venue limits, reporting, branding, API, and onboarding status are enforced in the application.

Plan-aware product

The current beta does not pretend every feature belongs to every plan.

Standard provides the complete core workflow for one venue. Pro adds multiple venues, advanced reports and CSV exports, and the custom branding editor. Enterprise adds API access, custom onboarding, and priority-support designation.

Package images, global search, operational notifications, staff booking alerts, booking-link sharing, and optional tenant MFA improve the core experience without turning VenueDesk into an integrations marketplace or general accounting platform.
